Administrative Assistant (f/m/x)

 

Location: Vienna Biocenter, St. Marx, Vienna

Start date: immediate

Job Type: Full-time, 40 hours weekly ideally, 30 hours possible

 

Your Role

You will be the operational backbone of the company – the person who makes sure things are organized, documented, scheduled, and followed through. You’ll work very closely with the C-level team and collaborate with all functions (R&D, BD, finance, HR).

 

Your Responsibilities

Executive & Investor Support

  • Support C-level with calendar management, meeting coordination and preparation of board/shareholder materials.
  • Organize investor meetings and help maintain a structured fundraising funnel in the CRM.

Office, Facility & Administrative Management

  • Ensure smooth day-to-day office operations (supplies, meeting rooms, printer, vendors).
  • Coordinate facility maintenance and act as the main contact for service providers (maintenance, cleaning, etc.).
  • Organize internal company events and team activities.

Legal & Documentation

  • Maintain an organized overview of contracts and legal documents (e.g. CDAs, MTAs, other agreements), including signature tracking and filing.

HR & People Operations

  • Support hiring processes (job ads, application management, interview coordination, communication with candidates).
  • Coordinate onboarding and offboarding and maintain basic HR overviews (contact lists, trainings, etc.).
  • Support the organization in streamlining operations and communication and implementation of business processes.

Finance & Admin Support

  • Support the finance function by tracking and collecting invoices and ensuring proper documentation and timely reporting.
  • Support the finance function and external service providers in accounting, controlling, payroll and monthly, quarterly, and annual reporting.

Communication, Website & BD Support

  • Coordinate updates for the company website and support external communication together with our agency.
  • Support monitoring of relevant life-science events and suggest suitable networking opportunities for the team.

Organization & IT Coordination

  • Help improve internal workflows and meeting structures (e.g. agendas, decision logs).
  • Coordinate basic IT topics (accounts, access, tools) with internal stakeholders and external providers.

 

What You Bring

  • Several years of experience in a similar role (e.g. Executive Assistant, Office/Operations Manager, People & Operations, or similar), ideally with experience in a startup environment
  • Strong organizational and coordination skills: you enjoy checklists, structure, and making sure nothing falls through the cracks.
  • High level of reliability, discretion, and ownership – you are trusted with sensitive documents, calendars, and investor/board communication.
  • Very good written and spoken English and German.
  • Comfortable with modern tools: Outlook/Office 365, cloud storage, CRM systems (e.g. HubSpot), online booking tools, basic website CMS.
  • A pragmatic, hands-on mindset: you’re happy to switch from preparing board slides to ordering coffee beans if that’s what the company needs.
  • Outgoing, friendly and confident personality
